Update Contact and Address Information for Current Active Entities

Regulated entities can now update address, contact types and service of process in real time via GIMS Company portal. This newly designed portal will create a more efficient process for regulated entities to update the State of Georgia with the most recent company changes.

To access the new portal, you will be required to create an account by registering with your entities License number and NAIC number.

During the registration process, you are also required to provide an Authorization Letter on company letterhead signed by the Company’s President or Vice President to obtain official access as an administrator for the Georgia Company Portal. This authorization letter must be uploaded on the registration page for official company portal access.

The follow must be included when submitting your Authorization Letter:

  1. Complete Legal Name of the Company.
  2. The NAIC number and/or Georgia License number of the Company.
  3. Name of the person assigned the Administrator role.
  4. Telephone number of the Administrator.
  5. Email Address of the Administrator.

***Please be advised, regulated companies are required to update changes to any address and contact information within 60 to 90 days of the changes effective date.

 

Instructions for Regulated Entities (Historical Company Portal)

To update your company’s information, access the Company Address Change Portal:

  1. Enter your NAIC or license number with the PIN to access the portal.
    1. If you do not know the PIN, click on “Need Pin?” under the PIN field in the portal. The current PIN contact for your company will be displayed.
    2. If the contact person is no longer with your company, please contact our office at the email addresses listed below.
  2. Once in the portal, enter the updates needed.
  3. Complete the authorized submitter section of the portal.
  4. Click on “SAVE” and a confirmation page will appear. Once saved, the address change is made in real time.
    1. Only click “Cancel” if you do not want the change made.
  5. After reviewing the page, scroll to the lower part of the page.
    1. If there are more updates to be made, click “Update Another,” which will take you to the address change page.
    2. If there are no more updates to be made, click “Finished” and you will be directed to the OCI website.

Address changes are applied at the individual company level and cannot be applied across related companies. If address changes are required for related companies, you will need to log in with each NAIC or license number and update each address accordingly.

Instructions for Regulated Entities (GIMS Company Portal)

To update your company’s information, access the GIMS Company Portal:

  1. Enter your username and password that you created during the registration process.
    • If you do not have a username and password, you will be required to submit a registration application to gain access the Company Portal.
    • If you have a registered account and do not remember your log in credentials, select the Forgot Password link on the Log in page and you will receive an email to reset your password.
  2. Once logged in on the portal, please select the company to proceed to the company’s Home Page.
  3. Once on the Home Page, select the Contact Types tab to view all contact types.
  4. Click on Update to make the changes to the contact types, then click on “SAVE”. Once saved, the contact changes are made in real time.
    • Only click “Cancel” if you do not want the change made.

Statutory Changes

Companies now have the option to submit statutory changes and fees through the newly designed GIMS Company Portal. Examples of changes requiring statutory fees can include, but are not limited to, changes in a regulated company’s designated service of process, statutory home address, and/or domestication from one state to another state.
